Terms and conditions
These terms explain the arrangements for online tuition and related academic support provided by Celeste Cohen. Your written quote or booking confirmation sets out the services, fee, dates and payment arrangement agreed with you.
Who provides the tuition
The tutor is Celeste Cohen. Contact: hello@celestecohen.com or +44 7857 887944.
For a student under 18, a parent or guardian must agree the arrangements and take responsibility for payment. For an adult student, the person agreeing the contract and payment arrangements is the client.
Booking and agreeing the support
The free 15-minute introductory call is a conversation about your needs and arrangements. It does not include a paid lesson or detailed review of academic work.
Before paid work begins, we agree the scope, rate, lesson length and payment arrangement in writing. Please confirm acceptance of these terms in writing and retain a copy with your booking confirmation. A Calendly booking does not change the fee or payment arrangement already agreed.
Rates are quoted individually. Any rate based on an ongoing weekly commitment will state the hours and period it covers. Changes to agreed fees or these terms will be explained and agreed before they apply to future bookings.
Invoices and payment
Unless advance payment or another arrangement is agreed in writing, I invoice at the end of each calendar month, itemising lessons and any applicable cancellation charges. Payment is by bank transfer using the invoice details, by the stated due date, usually seven calendar days after the invoice date.
If an invoice remains unpaid for four weeks after its due date, I will notify you that future tuition is suspended until it is paid. Further lessons will then require advance payment unless we agree otherwise. Please contact me promptly if you dispute an invoice.
Advance payments are applied to the agreed work. Refunds for unused tuition take account of work already provided, any fair cancellation charge and your statutory rights. If I cancel a lesson and we cannot agree an alternative, any advance payment for that lesson will be refunded.
Cancellations and rescheduling
Please cancel or request a change by email or WhatsApp at least 48 hours before the lesson starts. There is no cancellation charge with at least 48 hours’ notice. Rescheduling is subject to availability.
Cancellations or rescheduling requests made with less than 48 hours’ notice may be charged up to the full lesson fee. Any charge will reflect the reasonable loss, allowing for costs saved or a replacement booking.
If I cancel a lesson, I will offer an alternative time or refund any payment for that lesson. Your statutory cancellation rights are explained below.
Your statutory cancellation rights
If you are a consumer agreeing a service contract online, by email or by phone, you normally have 14 days after the day the contract is made to cancel it without giving a reason. This is separate from the lesson cancellation policy. I will give you the applicable cancellation information and a model cancellation form with your written agreement.
To cancel, email hello@celestecohen.com with a clear statement that you wish to cancel, your name and the booking or agreement concerned. You may use the model form but do not have to.
If you want tuition to begin during that period, I will ask for your express request to start early. If you then cancel during the period, any charge will be proportionate to services already supplied, where the required information and request have been provided. Your right to cancel ends once the agreed service has been fully performed only if you requested an early start and acknowledged that consequence in advance.
These terms do not remove your statutory rights, including your rights if a service is not provided with reasonable care and skill. Refunds due under the statutory cancellation rules will be made within the applicable legal deadline.
Lateness and missed lessons
If you will be late, please let me know by WhatsApp as soon as possible. I will send a reminder after five minutes and wait for 15 minutes. If the student has not joined by then, the lesson is treated as missed and may be charged under the cancellation policy above.
Lessons end at the agreed time if the student arrives late. If I am late, I will contact you and make up the lost time in that lesson or another agreed session.
Safeguarding and communication
I hold an enhanced DBS check and have safeguarding training. Necessary written contact between lessons takes place by email or WhatsApp. A parent or guardian should remain involved in arrangements for a student under 18.
Lessons are not recorded as standard. Any recording requires prior written agreement about consent, access, storage and deletion. For a student under 18, written consent is needed from both the parent or guardian and the student. Adult students must give their own written consent. I do not retain lesson recordings; any agreed recording is managed by the student or parent under the arrangements agreed beforehand.
Safeguarding concerns may be reported to the appropriate person or authority. Confidentiality does not prevent necessary safeguarding disclosures.
Online lessons and student work
Students should have a suitable charged device, working microphone, webcam and speakers, the required software and screen-sharing settings ready before the lesson. Please close distracting apps and mute unnecessary notifications.
Where agreed, we use a shared Google Doc for work and feedback during lessons. Access and any sharing arrangements will be agreed with the client. If a technical problem affects a lesson, we will discuss an appropriate alternative, rescheduling or adjustment according to the circumstances and responsibility for the problem.
Academic support helps students develop their own understanding and work. Students retain authorship and responsibility for assessed submissions. Editing, proofreading, feedback and dissertation mentorship must follow their institution’s requirements. I do not write assessed work for students. Results and admission offers are not guaranteed; progress also depends on the student’s participation and independent work.
Questions and concerns
Please raise a concern about a lesson, invoice or other service by emailing hello@celestecohen.com with the relevant details. I will discuss it with you and seek a fair resolution. Where a refund or another remedy is legally due, your statutory rights apply.
The website privacy page explains website enquiries. Details of how tuition, billing and learning information is handled will be provided as part of the client arrangements.
